The frustrating part is that it did not need to happen. He was not careless. He just assumed, reasonably, that because so much of his work lived in the cloud, all of it did. It did not. And the gap between what he thought was safe and what actually was is the whole point of this piece.
What is already safe, and what dies with the machine
Start with the reassuring half, because it is the bigger half. If you have set things up in a fairly normal way, most of your AI setup is already safe without you doing anything.
Your files are safe if they sit in cloud-synced storage like OneDrive, SharePoint, Google Drive or Dropbox. Your connected services are safe too: things like your automation tools, your customer records, your email and calendars all live in the cloud and keep running even with your computer switched off. And the connections themselves, the sign-ins that link your AI to those services, are nothing to back up. You just sign in again on the new machine.
Now the exposed half. Two things typically live only on the computer, and they are the two nobody thinks about.
The first is your automation instructions: the saved prompts that drive every scheduled task and routine you have built, often refined over months. The second is your AI's memory: the accumulated context about your business, the decisions, the preferences, the lessons it has picked up about how you work. Lose the machine, and unless you have copied these somewhere, you lose both. They are the operational brains of the setup, and they are exactly what took the longest to build.

The fix is simple and you can set it up once. The principle is to get those two machine-local things into the same cloud-synced storage everything else already lives in, and then keep the copy fresh automatically.
Here is the pattern we built at Handiwork, in plain steps. Keep your project folder in cloud-synced storage to begin with. Copy every scheduled task's instruction file into a backup folder inside that synced folder. Copy your AI's memory files into the same place. Add a plain snapshot of each task's schedule and whether it is turned on. Write a short, plain-English restore note so future-you knows what to do. You install the AI app and sign in, sync your cloud folder back down, reconnect each service with a fresh sign-in, recreate your scheduled tasks by pasting the backed-up instructions, point the AI at your saved memory, and run one task as a test. Done.
That is the difference a backup makes: a bad day instead of a bad month.
